# Rainbrand vs Brandfolder: which do you need for AI agents?

Brandfolder stores, governs and shares a company's approved files and guidelines with people and partners. Rainbrand maintains a brand as context that agents and products call for each task, then checks the work. What each does, which to choose, and how to move agent work from Brandfolder to Rainbrand.

## TL;DR

Choose Rainbrand when agents or your product make branded work repeatedly: it gives each task the guidelines and files it needs, with instructions for using them, and checks the result. Choose Brandfolder for a governed asset library that teams and partners use to find and share approved files. If agents make much of your brand work, move it to Rainbrand, starting from the files and guidelines you keep in Brandfolder.

## Start with the approved file

[Brandfolder](https://brandfolder.com/) is a digital asset management (DAM) platform: one library of approved logos, photography and other files, with user-level permissions for sharing them with colleagues and partners such as retailers. [Brandguide](https://brandfolder.com/product/brandguide/), sold alongside it, publishes the guidelines people read.

An agent making new work needs more than the file. Which logo version suits this background? Which claims can this email make? Should an image model draw the logo, or should the approved file be placed on the finished image? Those answers live in guidelines and decisions.

Rainbrand supplies those with the task: it keeps a brand’s guidance and files current, selects what each task needs in a [Brief](https://docs.rainbrand.com/guides/request-brief), [checks finished work against the brand](https://docs.rainbrand.com/guides/request-review) and lets you [inspect and apply changes](https://docs.rainbrand.com/guides/edit-brand) when the brand changes.

This comparison is based on Brandfolder's and Smartsheet's documentation and Zapier's listing of its Brandfolder connection, checked on October 28, 2026, and on an existing Rainbrand demonstration.

## What travels with a logo file

Extropic builds hardware for thermodynamic computing. Claude used Rainbrand to make a browser-based circuit sampler for it, and the Brief supplied Extropic's standalone stippled mark as a 256-pixel file, with the instruction to use it as the logo and keep it distinct from decorative graphics. In the page footer, Claude first drew the mark 54 pixels wide. Rainbrand's Review failed the logo check: the dots had blurred together, and the check read the mark as having “straight beam wings rather than the official flared stipple geometry.”

![Before: Extropic's footer mark drawn 54 pixels wide, its stippled wings blurred into soft beams](https://www.rainbrand.com/examples/extropic/review/r1/sampler-desktop-2-footer.png)

At 128 pixels it failed again, because the faint dots faded into the dark background. Drawn at the file's own 256 pixels, it passed:

![After: the same footer mark drawn at 256 pixels, with its dotted wings intact](https://www.rainbrand.com/examples/extropic/review/r3/sampler-desktop-2-footer.png)

The right file wasn't enough on its own; the check caught how it was used. That's what to look for with either product: the file the agent used, the instruction that came with it, and a check of where it ended up. The [example page](https://www.rainbrand.com/examples/extropic/) has the full Brief and the other outputs.

## How an agent reaches Brandfolder

Brandfolder's [API](https://developers.smartsheet.com/api/brandfolder/introduction) gives programmatic access to the same resources as its website: Brandfolders, sections, assets, collections, attachments, tags and custom fields. Each call uses a user's API key and returns only what that user can see. If your customers already run Brandfolder, connecting to it is the right way to use their original files.

Check the MCP route separately. MCP, the Model Context Protocol, is the standard assistants use to call outside tools. [Smartsheet's MCP tools](https://developers.smartsheet.com/ai-mcp/smartsheet/mcp-server-tools) cover Smartsheet's own sheets, reports and workflows, which doesn't establish Brandfolder access. [Zapier's Brandfolder MCP](https://zapier.com/mcp/brandfolder) is a third-party connection hosted by Zapier, with actions for searching, creating and updating Brandfolder assets.

Whichever route you use, a returned file and its tags don't show that the relevant Brandguide instructions arrived with it. During a trial, inspect what the agent actually received. If it can browse a public guide, also check how it handles private guidance and older versions.

## What Rainbrand adds

A Brief starts from the task rather than a file name, so the instruction arrives with the file, as it did for Extropic's mark. The agent makes the work with [its own tools](https://docs.rainbrand.com/guides/use-your-own-generation-tools) and revises from Review findings. When another system needs the whole brand, a [Brand Skill](https://docs.rainbrand.com/guides/use-brand-skill) gives it a complete, versioned snapshot.

A product can [add each customer's brand](https://docs.rainbrand.com/getting-started/embed-into-your-product) from the sources that customer has, such as a website, a brand guide or approved files exported from their library.

Brandfolder [prices by quote](https://brandfolder.com/pricing/), while Rainbrand [publishes its plans](https://www.rainbrand.com/pricing). Compare what each purchase would replace in your work, not just the subscriptions.

## Moving agent work from Brandfolder to Rainbrand

Start the brand from what your team already trusts in Brandfolder:

1. [Sign up for Rainbrand](https://www.rainbrand.com/auth/sign-up) and [connect your agent](https://docs.rainbrand.com/mcp/getting-started).
2. Download the approved logos, fonts and photography your recurring work uses, or have an agent or script with a Brandfolder API key fetch the assets and their attachments.
3. Save your Brandguide pages as text or a PDF.
4. [Add the brand to Rainbrand](https://docs.rainbrand.com/guides/create-brand) from those files, the guidelines and your website, and check what it builds before agents use it.

There’s no documented connector between the two, and Brandfolder’s permissions, sharing and analytics stay in Brandfolder, so keep it if people and partners still rely on those. While both run, remove a retired file from the [Brand Library](https://docs.rainbrand.com/guides/manage-brand-library) too, and turn a guidance change into a matching [brand edit](https://docs.rainbrand.com/guides/edit-brand).

Then compare the two on a deliverable your agents already make:

Ask your agent

```
Make our next one-page product sheet twice, with the same copy: once using only the files and Brandguide pages you can get from Brandfolder, once using a Rainbrand Brief and Review. For each version, tell me which logo file and images you used, what told you how to use them, what went wrong and what I’d still fix by hand. Then tell me which fits our recurring work better.
```
